POSITION TITLE: Customer Service Rep - Papillion Landing

REPORTS TO: Program Coordinator-Adult/Member Services

PURPOSE OF POSITION: Serves as the primary customer service representative for Papillion Landing. Responsible for a variety of routine to complex tasks that require a considerable amount of computer skills. Must have the ability to multi-task and be skilled in a high level of customer service practices.

An incumbent will be required to work varied hours during the week, including evenings and weekends.

ESSENTIAL FUNCTIONS:

The following are illustrative of the essential duties and responsibilities of the position. Other duties may be required and assigned.

Guides, encourages, motivates, and sells memberships to Papillion Landing.

Assists in the processing, creation and pursuit of potential new members.

Maintains/updates current customer contact information.

Possesses working knowledge of policies regarding changes in membership types, termination, renewals and transfers.

May be assigned a variety of special projects or tasks such as:

Monthly facility utilization reports

Photo management for department webpage

Creation of internal fliers for special events and activities

Prepare monthly membership usage reports for insurance providers

Provides general information to potential renters relating to the rental of the Papillion Landing. Assists in the facilitation of building tours.

Performs routine clerical work including answering phones, receiving the public, providing customer assistance and routine data processing.

Answers incoming calls from a multi-line phone system, routes calls, provides routine information as required.

Retrieves and responds to voice mail messages.

Attends scheduled staff meetings.

MARGINAL FUNCTIONS:

Performs other duties as directed or as the situation dictates.

ESSENTIAL KNOWLEDGE, EXPERIENCE AND ABILITY:

Ability to work without supervision.

Ability to work independently, to make decisions based on basic parameters defined by the organization and program supervisors.

Ability to effectively present information and respond to questions from patrons.

Ability to follow detailed instructions.

Working knowledge of Microsoft Office Products, including Word, Excel, PowerPoint, and Outlook.

Ability to learn and effectively utilize the CivicRec facility software.

Ability to accurately record and maintain records.

Excellent interpersonal skills and ability to maintain and foster cooperative and courteous working relationships with the public, peers and supervisors.

Ability to deal courteously with the public who may or may not act with regard to manners or courtesy.

Must possess excellent interpersonal and communication skills, as well as sound business and budgetary skills and experience.

Must be professional, outgoing and able to positively represent the Recreation Department at public level.

Must possess excellent interpersonal skills and be able to motivate and work with a diverse group of people.

ESSENTIAL EDUCATION, CERTIFICATION AND/OR LICENSES:

Must possess a valid driver's license at the time of hire.

Graduation from high school or GED equivalent.

Responsible secretarial or clerical experience (3-5 years) providing thorough knowledge of general office management practices preferred.

Must possess excellent interpersonal and communication skills, as well as sound business and budgetary skills and experience.

Must be professional, outgoing and able to positively represent the Recreation Department at public level.

Must possess and maintain their CPR/First Aid Certification throughout their employment with the City.

Must be available to work evening and weekend shifts.

ESSENTIAL PHYSICAL DEMANDS AND TYPICAL WORKING CONDITIONS:

Work will be performed indoors in Papillion Community Center.

Work required almost constant physical activity, including walking, running, and standing, kneeling, bending, crouching, reaching, stooping, lifting and carrying various supplies, equipment and other materials.

The incumbent may be required to frequently sit or stand for extended periods, talk, hear, and must have the ability to transport themselves to and from various locations throughout the City.

While performing the duties, the incumbent is required to use hands to finger, handle feel or operate objects or supplies and equipment. Hand-eye coordination in necessary to operate various pieces of office and fitness equipment.

The employee may be required to work long hours occasionally, the timing of which may vary from morning to evenings as well as weekends.

Work may occasionally be required in times of dim lighting. Vision abilities required include close vision and the ability to adjust focus.

The employee must occasionally lift and/or move up to 25 pounds.

The employee is occasionally required to walk.

The noise level is usually moderate and includes frequent interruptions and distractions.

Work required extensive interaction with the general public and other community groups and may be stressful when dealing with irate citizens and/or the enforcement of rules.
